Driver active in 6 days — instead of 3 weeks
Every day without a driver is 300 € of Uber revenue gone. How rental car bosses cut the time from application to first trip — with structure instead of ad-hoc.
Every empty driver seat costs money
You have five cars and one open driver job. What happens? You lose about 2,000 € of revenue per week. After three weeks, that is 6,000 €. The money never comes back.
Drivers change often in this business. So the time until a new driver works is very important. You can unlock revenue here — without winning a single new customer.
The normal process takes three weeks or longer. Why? Because the steps happen one after the other. Each step needs one to three days. And nobody keeps count.
What happens? Look at application. Do interview. Check licence. P-Schein check under § 21 StVG (that is the check under the road traffic law). Write contract. Sign up with health insurance. Uber Fleet activation. Bolt activation. Assign a car. Briefing. First trip.
Two weeks you wait on authorities and Uber. One week you lose because nobody pushes inside your office.
What six days looks like
If you run the steps in parallel and use a checklist, it goes much faster:
- Day 1 — Application arrives. Licence and P-Schein uploaded in the app right away. No call. No email. No paper.
- Day 2 — Short interview, 30 minutes. If it fits: contract same day. Digital signature.
- Day 3 — Contract signed. Health insurance filed. Uber Fleet activation started in parallel (Uber checks in 24 to 48 hours). Bolt in parallel too.
- Day 4 — Uber is active. Car assigned. Briefing scheduled for day 5.
- Day 5 — Briefing: hand over the car, set up the app, short test drive.
- Day 6 — First workday on Uber.
This is not theory. We see it with bosses who run the process with clear structure. The difference from the three-week version is not "work harder." It is "no waiting between steps."
Where the three weeks get lost
Three typical time-sinks:
Licence and P-Schein by post. The applicant has to drop off or mail copies. The check then takes two to four days. Often a step is forgotten (like the back of the P-Schein). Digital upload at application time fixes this.
Contract two weeks in the mail. Print paper contract, send by post, wait. Two weeks gone with nothing happening. Digital signature does it in minutes.
Uber activation started too late. Many bosses wait until everything else is done. Then they lose another 24 to 48 hours. Uber can be started in parallel to the contract — as soon as licence and P-Schein are checked.
What a system does for you
Fahrly Recruiting (this is your applicant tracker) puts every application on a fixed checklist. Each step has an owner, an expected time, and a trigger for the next step. When the P-Schein check is done, the signing request goes out on its own. When the contract is back, Uber activation is started.
You see live where every applicant is. And where something is stuck.
For the HR handoff this means: the moment the driver is active, the file, contract, P-Schein, and licence are already saved digitally. You do not type data twice.
The math
At three hires per year, you save two weeks each time. That is about 12,000 to 18,000 € of revenue you would otherwise lose.
The subscription for Recruiting plus HR costs only a small piece of that. And you do not need a new customer. You just do the trips you should be doing anyway.
The candidate pool is the second lever
There is a second lever. Many bosses underestimate it: your own candidate pool.
Drivers who were rejected (because no slot was open at that time). Applicants who cancelled after the interview. Former drivers who left on friendly terms. All of them are contacts. In six to twelve months they may be relevant again.
If you keep this pool alive, the time from "I need a driver" to the first interview is three days instead of three weeks. Fahrly Recruiting keeps the pool for you. With a note on the last contact. With availability.
One message to the pool usually brings two to five replies in a week. Without you posting a single job ad.
